RE Media Hub sends accounting records one way: from RE Media Hub into your accounting software. Changes made in QuickBooks or Wave are not copied back. You need **Manage Settings** to change these settings. Have your accountant confirm the account choices before your first live sync.

## QuickBooks

"Sync customers, products, and invoices with QuickBooks." Open **Settings → Integrations → QuickBooks**, select **Enable**, then **Connect** and authorize your QuickBooks company.

### QuickBooks Lists

"Map REMediaHub sales, payments, taxes, and payout expenses to QuickBooks before live sync." Select **Refresh Lists** to load your QuickBooks accounts, items, payment methods, and tax codes. **List Status** shows whether the mapping is ready.

| Field | What It Controls | When It Is Required |
| --- | --- | --- |
| **Income Account** | The QuickBooks income account assigned to products and items RE Media Hub creates. Sales on synced invoices post to it. | Required to sync products or items. Without it: "Set a QuickBooks Income Account before syncing products." |
| **Deposit Account** | Where synced customer payments are deposited in QuickBooks, for example your checking account or Undeposited Funds. | Used when a sync includes **Payments**. If empty, QuickBooks applies its own default. |
| **Payment Method** | The QuickBooks payment method recorded on synced payments. | Optional. |
| **Generic Service Item** | The fallback QuickBooks item used on invoice lines that don't match a synced product, such as custom items. | If empty, RE Media Hub creates an item named by **Generic Item Name**. |
| **Generic Item Name** | The name of that fallback item. Defaults to "REMediaHub Services". | Optional. |
| **COGS / Expense Account** | The expense account charged by vendor bills created from payroll runs. | Required when **Create Vendor Bills from payroll** is on. Without it: "QuickBooks COGS Expense Account is required before syncing payroll vendor bills." |
| **Sales Tax Code** | The QuickBooks tax code applied to taxable invoice lines. | Optional. If empty and an order has tax, the tax is added as a separate line, "Sales tax collected in REMediaHub". |
| **Invoice Prefix** | Added before the order number to make the QuickBooks invoice number. Defaults to `RMH-` (order 1042 becomes RMH-1042). Up to 24 characters. | Optional. |
| **Sync Since** | The earliest order date included by default. Older orders are skipped. | Optional. |
| **Auto-sync customers, products, and invoices** | "Auto-sync creates missing QuickBooks customers, products/items, and invoices after platform changes. Payments stay manual in QuickBooks." | Optional. Payments are never auto-synced. |
| **Create Vendor Bills from payroll** | Allows payroll runs to become vendor bills, one per team member payout. Each team member is created as a QuickBooks vendor. | Optional. Needs **COGS / Expense Account**. |

Select **Save Settings**. **Fix Lists** repairs mappings that point to QuickBooks records that no longer exist.

### Match Existing Customers

"Review proposed customer links before creating new QuickBooks customers." Select **Find Matches**. Each row shows the **REMediaHub Customer**, the proposed **QuickBooks Customer**, and a **Match** choice. Select **Save Selected** to link them. Customers without a saved link are created as new QuickBooks customers during sync. Match first to avoid duplicates.

### QuickBooks Sync

"Preview or run a one-way sync from REMediaHub into QuickBooks."

| Option | What It Creates | Default |
| --- | --- | --- |
| **Customers** | Missing QuickBooks customers. | On |
| **Products / Items** | Missing service items, using **Income Account**. | On |
| **Invoices** | One invoice per order. | On |
| **Payments** | Received payments, applied to the synced invoice, using **Deposit Account** and **Payment Method**. | Off |
| **Credit Memos** | Credit memos for refunds and cancellation credits. | Off |
| **Vendor Bills** | Payroll payout bills. | On only if **Create Vendor Bills from payroll** is on |

Also set **Max Records** (the most records to process in this run) and **Orders Since**.

1. Select **Dry Run**. It shows what would be created without changing QuickBooks. "Run Dry Run without a QuickBooks company to review local records."
2. Review the results, **QuickBooks sync notes**, and **Latest QuickBooks sync issues**.
3. Select **Sync Now**. "Live sync requires a connected QuickBooks company."

Records already linked are skipped, so running a sync again doesn't duplicate them.

## Wave

"Sync invoices and accounting records with Wave." Enable it and select **Connect** to authorize your Wave business. Wave's own partner features vary, so check results in Wave ([Wave: Integrate with Other Apps](https://support.waveapps.com/hc/en-us/articles/37312013627412-Integrate-Wave-with-other-apps)).

### Wave Lists

"Map REMediaHub sales, collected payments, and sales tax to Wave before live sync." Select **Refresh Lists** after connecting a business. **List Status** shows **Ready**, **Needs attention**, or **Dry-run only**.

| Field | What It Controls | When It Is Required |
| --- | --- | --- |
| **Income Account** | The Wave income account for products RE Media Hub creates. | Required to sync products or invoices. Without it: "Set a Wave Income Account before syncing products or invoices." |
| **Payment Account** | The Wave account that receives synced payments, for example a bank or cash account. | Required to sync payments. Without it: "Set a Wave Payment Account before syncing collected payments." |
| **Sales Tax** | The Wave sales tax applied to taxable orders. | Optional. If empty, tax is added as a separate "Sales tax collected in REMediaHub" line. |
| **Generic Product** / **Generic Product Name** | The fallback Wave product for lines that don't match a synced product. | Created automatically if empty. **Fix Product** repairs it. |
| **Invoice Prefix** | Added before the order number for the Wave invoice number. Defaults to `RMH-`. | Optional. |
| **Sync Since** | The earliest order date included by default. | Optional. |
| **Save invoices in Wave** | On (the default): invoices are saved (approved) in Wave. Off: they stay as drafts. | Optional. |
| **Email Wave invoices** | Wave emails the invoice to your customer after sync. Off by default. | Turn on only if you want Wave to send customer emails. |

Select **Save Settings**.

### Wave Sync

"Preview or run a one-way accounting sync from REMediaHub into Wave." Choose **Customers**, **Products**, **Invoices**, **Payments**, and **Track Refunds** (all on by default), plus **Max Records** and **Orders Since**. "Live sync creates missing Wave customers, products, invoices, and manual payment records." Use **Dry Run** first, then **Sync Now**. "Dry runs work without Wave."

## Troubleshooting

- **A sync issue says an account is required.** Choose the account named in the message under **QuickBooks Lists** or **Wave Lists**, save, and run a dry run again.
- **Duplicate customers.** Use **Match Existing Customers** before syncing.
- **Totals differ from Reports.** Accounting uses invoice and payment dates. Reports count orders by creation date. See [Report Metrics and Filters Reference](https://help.remediahub.com/hc/help-center/articles/report-metrics-reference).
