Appointments live in the Order Appointments section of an order.

Edit an Appointment

Select Edit on the appointment to change date, start time, duration, items, and team members. Select Save Appointment Changes.

Reschedule or Postpone

  • Reschedule: move the appointment to a new date and time.
  • Postpone: keep the order but remove the scheduled time. The appointment appears under Postponed Appointments on the Orders page and Dashboard until it is rescheduled.

If an appointment was canceled, the page explains: "This appointment was canceled. Add a new appointment to reschedule this order." Select Add New Appointment.

Multiple Appointments

One order can hold several appointments, for example a daytime shoot and a twilight shoot. Use Add Appointment and choose which items belong to each. Twilight, sunrise, and sunset items move to their own appointment.

Booking Requests

When scheduling review applies, the order shows Booking Request with the customer's requested date, preferred time, reason, and note.

  • Schedule Appointment: confirm a real time.
  • Void Request: decline the request.

See Use Scheduling Review Requests.

Photographer Assignment Approval

If Manual Approval is on for a photographer, public order-form assignments wait for an admin. The time is reserved, but the photographer sees it only after approval.

  • Approve Assignment: notifies and assigns the photographer.
  • Mark Declined: declines the assignment.
  • Move Back to Needs Approval: returns it to pending.
  • Remove Notice: dismisses the approval notice.

Customer Notifications

Appointment changes can send the Appointment Scheduled, Appointment Rescheduled, Appointment Updated, Appointment Postponed, and Appointment Canceled templates, and the matching team member templates, when enabled.

Assigning Items to Appointments

Appointments in This Order lists the slots belonging to the order. In an appointment editor, Items for This Appointment is the item selector; use Select All or Clear, then choose the services for that visit. Appointment Items shows the services and assignments already associated with a slot. Review this list when splitting daytime and twilight work so the same service is not scheduled on the wrong visit.
